Standing Rules for Deaf Ministries Committee

Coordinator

  1. Preferably Deaf. Must have literal (both English and sign language) communication skills.
  2. Coordinate annual DMC meeting
  3. Business meeting -- implement and fine-tune Quadrennium Goals and strategies,

    Solicit denomination/organization reports, plan for lay leadership workshops

    Arrange for interpreters, notetaker of minutes, assistants

    Arrange for needed equipment

    Arrange meeting location and meals through contract with htel/facility. If meeting held outside Coordinator's office area, this can be worked out with participant living in that area.

  4. Collaborate with Planning Committee (3--4 meetings per year)
  5. Appoints a chairperson of Planning Committee

    Agenda, themes, presenters, leader assigned to time slots, create workshops, evaluation forms, analyze evaluations, annual budget, etc.

    Mission statement review

  6. Communicates with MCE director of NCC
  7. Submit annual report

    Submit budget requests

    Attend or assign Planning Committee member to attend MCE annual meeting and give a report (as funding permits).

  8. Request grants or promote sales of items to raise funds for annual meeting and specific programs and projects
  9. Coordinate a regular newsletter
  10. Provide information and referrals relating to Deaf Ministry
  11. Maintain bookkeeping of expenses
  12. Contact and support people with expertise to work on projects such as Deaf Leadership Training
  13. Coordinator should be willing to serve at least two years.

Planning Committee:

  1. Membership:
    1. Is composed of four to six people from different denominations/organizations who can communicate with sign language. 51% or more of these people should be Deaf.
    2. Must be willing to serve a four-year term. The annual meeting replaces one or two peole each year.
  1. Duties:
    1. Conducts annual evaluation of Coordinator to share with MCE and DMC at first regular meeting in the fall.
    2. Able to attend 3-4 meetings per year (Friday night/Saturday) with denominational support for travel (fall winter, annual meeting, and as needed)
    3. Collaborates with Coordinator to plan annual meeting
    4. Advises Coordinator
    5. Develops strategies for implementation of Quadrennium goals and projects
    6. Assists with networking and publicity within and among denominations and organizations.

Participants at Annual Meeting:

  1. Follow roles/responsibilities listed in registration packet.
  2. Attend the meeting the first weekend following April 15 (Thursday night -- Saturday)
  3. Seek denominational financial support the interpreter fund
  4. Submit a report to be shared with business session and others during the year.

Annual Meeting Format:

  1. Begins with business session Thursday night through Friday afternoon.
  2. Followed by workshop lead by Deaf for Deaf lay leadership training which are open to the public and done by Saturday afternoon.
  3. Entertainment is an option between business session and workshops.

Chaplain:

  1. The planning Committee will appoint a chaplain who will plan and conduct devotions for the annual meeting.
  2. The chaplain will also be responsible for focusing on the spiritual needs of the committee participants.
  3. The chaplain will make use of the different styles of deaf worship.

Workshop leaders:

  1. The Planning Committee will contact possible leaders that fit the theme selected for the annual meeting. These can be well-known or local leaders who are able to share their expertise in the area Deaf Ministry.
  2. The leaders will be invited to attend the business session as well.
  3. The expenses and an honorarium shall be paid for by the NCCC Deaf Ministries Committee budget (with a fee being charged to workshop participants from the local community).
