Deciding to Use a Toll-Free or Local Area Code Telephone Number
Using a Toll-Free Telephone Number. A toll-free number is provided with each system. This is the preferred choice of most businesses, because a toll-free number creates a more professional, well established business image. People can call you from anywhere in the U.S. or Canada at no charge. You pay the call charges, but the caller goodwill created makes it a justifiable business investment. Using a toll-free number in advertising also increases your response and produces more business.

A Toll-Free Telephone Number can handle multiple calls simultaneously, so you never miss a call & never have a busy signal. A toll-free number also captures every caller's telephone number, even if they have caller I.D.blocking. Toll-free numbers are also portable, so you can take your number with you, if you ever leave the service.

The Toll-Free Telephone Number Rate for inbound calls is 6.9 cents per minute for all calls from anywhere in the U.S., Alaska, Hawaii, Canada & Puerto Rico. If there is a call transfer involved, the system must initiate a second call outbound from the system to the number where the call is being forwarded. The combined inbound and outbound call rate for a connected call is 11.3 cents per minute. If you are not available, and the caller just leaves a message, you only pay for the inbound call at 6.9 cents per minute.

Reduce Toll-Free Rate with Pre-Paid Bulk-Minute Plans. If you pre-pay for a Bulk-Minute Plan, you can pay for your toll-free call usage by-the-month, rather than by-the-minute and reduce your calling rate to as low as 4.5 cents per minute for inbound calls and 9 cents per minute for connected call transfers.

Here are the available Bulk-Minute Plans for U.S. Calls Only:

Unused Bulk-Minutes do not roll over. If you exceed your number of minutes in any month, you are charged 6.9¢ per minute inbound and 11.3¢ per minute for connected call transfers, plus 6.9¢ per minute for outbound only calls from your system for Message Call-Backs and Fax-Back for outbound faxes. Non-U.S.calls are charged at the same rates.

Using a Local Area Code Number is a $10.00 per month option on all systems. All inbound calls using your exclusive system Local Area Code Number are paid for by the caller. But, any outbound calls from your system to any other telephone numbers for Follow-Me Call Forwarding are billed at 4.4 cents per minute. Call-Backs for message delivery or Fax-back of Fax-On-Demand documents sent to callers are charged at 6.9¢ per minute.

Local Area Code Numbers are available for most cities in the U.S. Local Area Code Numbers only have 2-line access, so they can only handle 2 simultaneous calls. If a third call occurs when both lines are in use, it will receive a busy signal, until one of the lines is freed up.

If the calling party has caller I.D. blocking, the local number cannot capture the caller's telephone number. Local area code numbers also are not portable, so they cannot be take with you, if you leave the service.

Automated Answering -- Automated Attendant
This is the Initial Greeting & Main System Menu
recording callers hear when they dial your exclusive system telephone number. This is a custom recording created by you or one of our professional voice talents.

Use this recording to identify your business and direct callers to Extension Numbers for Live Call Forwarding, Voice Mail or to listen to recorded information and receive automated fax backs of printed information, depending upon how you want to use and configure your system.

List of Extensions Recording
This is a recording that lists People or Departments and their Extension Numbers when you have too many to list in the Initial Greetig & Main system Menu. It is created by you or one of our professional voice talents. It is typically reached by instructing the caller to "Dial 8" in the Initial Greeting & Main System Menu recording. It is often used by companies who have many employees utilizing the system. Instead of listing all of the personal extensions in the Initial Greeting & Main System Menu recording, you can send your callers to a separate recording that lists all of the individuals and their extensions, so the caller can choose the appropriate extension.

Dial-By-Name for extension location is also available as an optional feature.

Use Your System Like a Virtual PBX
Voice Mailboxes with Call Forwarding, Instant Message Delivery & Paging
Any system can have as many Voice Mailboxes as you need. Each mailbox can be used for Live-Call-Forward (see Follow-Me Call Forwarding feature pesented later on this page), Taking Voice Messages, Delivering Voice Messages instantly by Email, Telephone or Page Notification, as well as delivering Information Recordings or Question & Answer information collection.

Each system includes a specific number of Voice Mailboxex. You can add extra Voice Mailboxes at anytime, if you need more, in sets of five (5) for only $5.00 per month per set of five (5). That's only $1.00 per mailbox per month!

Each mailbox has its own Extension Number & unique PIN number. Each department or key person within your organization can have its own personal extension and PIN.

Caller Telephone Number Capture -- The system captures every caller's telephone number, even if they have Caller I.D. Blocking. You'll always have the telephone number of every caller for follow-up, even if they don't leave a message. The caller's number will be announced to you by simply dialing "7" from within voice mail.

Mailbox Name -- A "name" can be recorded for each mailbox that will be announced to identify the mailbox to you and callers when a call is being transferred or a voice message taken. The name can be a person, department or anything else you want to use to identify that mailbox.

Call Forwarding Numbers -- Each mailbox that is used for Live-Call-Transfer can have as many telephone numbers entered into it as you wish. The numbers will be dialed in sequence until one is answered. You can even specify the number of rings you want the system to try, before going on the to next number. If there is no answer at any of the numbers, the system will play the Personal Greeting recorded for that mailbox to ask the caller to leave a message.

Personal Greeting -- The Personal Greeting for each mailbox can be as long as you wish. Typically, it is used to ask the caller to leave a message. However, if the mailbox is not being used for Live-Call-Forwarding, the Personal Greeting can be used to deliver recorded information, before taking a message.

A Voice Mailbox used for recorded information delivery cannot send callers to another recording. It can only be used to take a message, after the caller listens to the recording. To send callers from one information recording or menu to another, you need the Voice-On-Demand feature.

Voice Message Capacity -- There is no limit to the number of voice messages that can be stored in each mailbox. So, you never have to worry about a mailbox getting filled up and not accepting more messages. Each caller's voice message is limited to 2-minutes, which is typically more than enough time to leave a detailed message. However, that limitation can be extened or removed completely, if you wish.

Question & Answer Format -- Any mailbox can be used in a Question & Answer format to collect specific information from callers. You can record multiple voice prompts in the Personal Greeting section with a caller response after each prompt. Use it to collect caller's mailing address information, conduct a survey, determine a caller's needs to help you better serve that caller, etc. All caller responses are put together and played back as one message.

Message Call-Back -- The Call-Back section of each mailbox can have as many telephone numbers entered as you wish where you can be reached to receive your messages. The system calls these numbers immediately after a message is left, and allows you to listen to the message(s), if you wish. It will keep calling you periodically, until it reachs you and delivers your message(s). This feature can be turned off, if you don't want to use it.

Email Message Delivery -- Each mailbox can also have as many email addresses as you wish where voice messages will be sent immediately. You receive a text message in your email inbox with the date, time, caller telephone number and the mailbox extention number were the message was left.

The voice message itself is a Wav File or MP3 File attachment to the text message that you simply click on to listen to the voice message over the speakers of your computer. No special player required. There is no cost to receive your voice messages by email.

New Transcription Service -- As an option, you can designate any or all mailboxes to have the voice messages automatically transcribed form voice-to-text and delivered to your email address, as a text message you can read online, as well as print on your computer printer. $10 option per month covers any or all mailboxes. 25 cents per 30 seconds of voice message transcribed. Requires email message delivery feature.

Pager Notification -- If you prefer to simply be notified by pager after each message is left, you can enter a pager number or numbers (if you want more than one person to be paged) that will be called immediately after a message is left, and you can then call into your system to listen to the message(s) or check them on the WebLink Interface (this feature described later on this page).

Follow-Me-Live Call Forwarding
You can have as many Extension Numbers as you wish, each of which is a Voice Mailbox that can be used to transfer calls to ANY telephone number in the U.S. or Canada, even to other countries with special set-up.

Each person can enter as many different telephone number in their Extension (mailbox) as they wish to have the system track them down at home, office, on their cell phone or anywhere else they plan to be. These numbers can be set-up on the internet through the WebLink Interface feature or by telephone and changed instantly, whenever needed.

Each forwarding number can specify the days of the week and the time of day you want it to be active. That number will only be called during the days and times specified. This allows you to boost your efficiency by blocking out "Do Not Disturb" times (when you won't take calls) so you can complete work without interruptions.

5-Ways To Have Calls Announced:

(1). Call Screening
-- If you set the Call Screening feature (Whisper feature), the system will ask the caller for their name before transferring the call. When you answer the call transfer, the system announces "you have a call from your automated system from (the caller's name is played), to accept the call, press any key."

If the call is accepted, it is connected and you can begin speaking with the caller. If the call is not accepted, the system plays the Personal Greeting you recorded in the mailbox for this extension, which would ask the caller to leave a message.

(2). Caller Telephone Number Announce -- With this feature, your system will announce the caller's telephone number to you before connecting the call. You will be given the option to accept the call or send the caller to voice mail.

(3). Call Announce Extension "Name" / Ask to Accept -- System announces: "you have a call from your automated system for (here it plays the "name" recorded in the name section of the mailbox for this extension), press any key to accept the call." (The "name" can be a person's name, a department name or anything else you want to use to identify this mailbox extension).

If the call is accepted, it is connected and you can begin speaking with the caller. If the call is not accepted, the system plays the Personal Greeting you recorded in the mailbox for this extension, which would ask the caller to leave a message.

(4). Call Announce / Then Connect -- This feature works with Items 1, 2 and 3 above. It will announce the call as described in those features above, but then it will NOT ask you to press any key to accept the call. It will just connect the call immediately.

(5). No Announcement -- System does not announce the call. As soon as you answer the call transfer, the call is connected, and you can begin talking with the caller. This default non-announcement is used whenever you do NOT record any "name" in the name section of the mailbox for this extension.

Call Queing To Advise On Hold Callers Their Position in Que

When a caller dials an Extension Number to speak with a specific person and the extension is in use, the caller is put on hold. The system announces how many callers are head of them, as well as the estimated wait time and offered an opporutnity to go to voice mail. The caller is periodically updated on their position, and offered an opportunity to go to voice mail each time. When the extension is available, the call is transferred.

This feature allows callers to decide when they want to go to voice mail, if they don't want to be kept on hold.

WebLink Interface Feature -- Includes Email Delivery of Voice & Fax Messages

WebLink Interface is YOUR Internet Control Panel to manage & administer YOUR one number automated, remote telephone system service. It lets you access each of your Mailboxes, listen to voice messages, view & print faxes, set-up Follow-Me Call Forwarding & Message Call-Back Numbers, set Properties for each Mailbox, and view Call Reports with many Call Traffic Analysis variables, as well as see Bulk-Minute Plan usage by the day with cummulative totals. Voice Blaster Tool -- Included with WebLink Interface

Record Your Own Voice Messages by Telephone and send them to ANYONE or any GROUP of people by telephone at only 6.9 cents per minute per connected call, using the Voice Blaster Built-In Auto-Dialer function.

Send your own voice messages regularly to your employees, sales force, customers, distributors, members, subscribers, etc.

Nothing is as personal or powerful as the sound of your voice. Use it to inspire, motivate, inform, update or cause to take action.

Easily record voice messages in a special voice mailbox in your system. It is set-up to allow you to stop & re-record at any time. Listen to message when finished & re-record, if necessary; then save when satisfied.

You can create and maintain a library of voice messages to be sent out as needed. Create your messages in your voice mailbox and move them into the Voice Blaster Tool to store there ready to use. Select a message when ready and click on "phone," which brings up a screen to enter the phone numbers you want the message sent to.
The Phone Screen lets you enter as many telephone numbers as you wish to receive your voice message. You can select whether you want to have the message played to a live person only, to an answer machine or either. The system only sends out your voice message by telephone during the hours of 9 a.m. to 9 p.m., based on the area code of each number. It will select the first 100 numbers whose area code is in that time period and dials each number and plays the recording when each number answers. You are charged only for connected calls at 6.9¢ per minute, charged in 6-second increments. As an example, if you send out a 30 seond message, you are only charged for 30 seconds or 3.45 cents for each connected message. Just mailing a post card will cost you 25 cents for the postage and at least 5 cents to print the post card, plus addressing and mailing.

Voice-On-Demand & Fax-On-Demand Features

Voice-On-Demand gives you unlimited Recording Extensions to record Menus & Information for callers to listen to 24-hours per day. The first 4 VOD Recording Extensions are accessible from the Initial Greeting & Main System Menu (Automated Attendant). Callers can be sent from one Recording Extension to another to provide a complete branching tree of information selections. Callers can be provided with up to 4-ways to take action from within any VOD Recording Extension: (1). select 1 of up to 5 choices of other VOD Extensions; (2). speak to a representative (provide mailbox extension number to dial for call forwarding); (3.) leave a message (provide mailbox extension number to dial to leave a message); (4). receive a fax on subject of recording. This VOD feature is included with two of our prepackaged systems and may be added to the basic service system as a $5.00 per month option.

Fax-On-Demand lets you store fax documents (unlimited number of pages each) with the Initial Greeting & Main System Menu recording or with any of the Voice-On-Demand Recording Extensions for automated caller retrieval. Simply instruct the caller to dial "6" from within the specific recording extension and the system will automatically prompt the caller to enter their fax number. When the caller hangs up, the system will dial the entered fax number and send out the fax stored with that recording extension. Faxes can be accessed and received by callers 24-hours per day, without you having to be involved. The system will call you to tell you each time someone accesses your fax documents, as well as give you the caller's telephone number. This feature is included with two of our prepackaged systems and may be added to our basic service system as a $5.00 per month option.

Send & Receive Faxes Without a Fax Machine!

Fax Mail is included with two of our prepackaged systems and may be added to our basic service system as a $5.00 per month option. It allows your exclusive system telephone number to also be used as a fax number. Anyone can send you a fax by simply placing the fax they want to send into their fax machine, dialing your system telephone number and immediately pressing "Start" on their fax machine.
Your system will recognize the incoming fax tone, receive the fax & store it in one of your mailboxes (Mailbox 81 is the default fax mailbox). You can forward the fax to any fax machine, or if you have the Email Message Delivery feature with your system, the fax will appear in your email inbox as a fax attachment to a text message with the date, time and telephone number of the sender. You can open the email, view the fax and print it out on your computer printer without a fax machine.

Also, if you have the WebLink Interface feature (described in the next section) with your system, you can go online & log into your account, open the fax mailbox, view the fax and print it out on your computer printer without a fax machine (includes high-res printing).

Fax Send. This is a $5.00 per month option on all systems. It includes a print driver you can download to your computer. It lets you use the Print Command on your Internet Browser to search you computer for the document you want to fax and then enter the fax number where you want it sent. It lets you send faxes without a fax machine. Outbound faxes are charged at the rate of 6.9 cents per minute. Typically, you can send about one fax page per minute.

If you have the WebLink Interface feature with your system, you can also use it to send faxes with the Fax Send option. Log into you account, click on the Fax Tab, and you can browse documents on your computer to select the one to send, enter the fax number you are sending to, and it will send out the fax without using the downloadable Print Driver, and without using a fax machine.

Dedicated Fax Line. You can order a separate dedicated fax number that sends out a fax tone for the fax sender to hear when they dial your dedicated fax number. This lets the sender know your system is ready to receive a fax. Your regular system telephone number can receive faxes, if you have Fax Mail, but it does not send out a fax tone for the sender to hear. The sender just presses "Start" on their fax machine, as soon as they dial your regular system number. A dedicated fax number is included with one of our prepackaged systems and can be added to the other two systems, including the basic service system as a $5.00 per month option.

Fax Freedom Dedicated System. We also have a stand-alone fax sending & receiving system for $9.95 per month that includes 100 free minutes of fax sending and receiving. After the 100 minutes are used, faxing is charged at 6.9 cents per minute. Typically, you can fax about one fax page per minute. It also includes a dedicated toll-free number for just receiving faxes, as well as a limited version of our WebLink Interface with just the fax sending feature. Dial-By-Name Mailbox Extension Locator
Dial-By-Name feature lets callers dial the first few letters of a person's first or last name and be automatically given the Extension Number of that person's mailbox to dial & connect with that person. This feature is included with one of our prepackaged systems and may be added to the other two systems, including basic service system as a $10.00 per month option.

After Hours Greeting
After Hours Greeting is provided with one of our prepackaged systems and may be added to the other two systems, incuding the basic system service as a $5.00 per month option. It provides a separate Initial Greeting & Main System Menu recording that you can create to play after the hours you specify, such as after your normal business hours. This allows you to have your system answered with a greeting that tells the caller they have reached you after business hours, so no one is available to take calls, but can still provide Extension Numbers to select other recorded information or leave messages.

On-Hold Options
On-Hold Music is a standard feature on all of our remote solution telephone systems, however, you can choose other options to be implemented:

Personalized On-Hold Music is a $5.00 per month option. You can supply your own personalized On-Hold music to be installed on your system.

On-Hold Recorded Information is a $5.00 per month option. You can supply a recording of information about your business, products or services that we will install on your system to play while callers are On-Hold.

Random On-Hold Music is a $5.00 per month option. You can specify the On-Hold Music from our selections of Easy Listening, Jazz, Rock and random selections from the specified type will play while callers are On-Hold.

Mailbox Rotation
As a $5.00 per month option for all systems, you can have inbound calls immediately sent to mailboxes on a rotating basis, so calls get distributed to a specific group of mailboxes automatically. Email Statistical Package
As a $5.00 per month option, you can receive a daily email report on all of your call traffic with caller telephone numbers and the extensions dialed, with weekly and monthly summaries included. This tracks all activity through your system on a daily basis.

Extra Voice Mailboxes
